How To Use GTIIT Public Staff Printers (Multi-Functional Photocopier)

Purpose

This guide provides the guidelines on how GTIIT authorized users can print, release, and scan documents using GTIIT public printers (Konica Minolta MFPs).
 

Public printer locations

Public printer locations and their queue names (Staff-Print-Q / Staff-ColorPrint-Q) are listed in the following table. Please find the nearest device and confirm which queue to use.

Requirements

  • Connection to the GTIIT campus network (eduroam, GTIIT-SEC, or wired network) using your own GTIIT account
  • Your GTIIT SmartCard (staff card), or your GTIIT username and password
                 

Associating your SmartCard

You can use your SmartCard instead of typing your username and password. For the first-time association:

  1. Swipe your SmartCard at any GTIIT public MFP as listed above.
  2. If the card has not been associated before, the screen will ask you to associate it.
  3. Enter your GTIIT account and passphrase, then tap Login.

  4. Swipe your card again to check that the association was successful.
  5. After this, your SmartCard is linked to your GTIIT account and can be used on any public MFP.

 

Releasing print jobs at the MFP

  1. If the MFP screen is dark (sleep mode), touch the screen or any physical button to wake it up.
  2. Log in by swiping your SmartCard or entering your GTIIT account and password.
  3. Tap “Release” to see the list of your print jobs.
  4. Select the jobs you want to print and tap “Print”. Check options such as paper size, color, and duplex to avoid printing with the wrong settings.
  5. When finished, press the Logout button in the upper-right corner of the MFP screen.

Note: The print server deletes held print jobs if they are not released within 120 minutes.

 

Scanning documents

This function lets you scan a document and send it to your GTIIT email address, or to the shared folder on the print server. You can then forward the scanned file to any other email address if needed. Please follow the steps below:

  1. Log onto the MFP by swiping your GTIIT SmartCard or typing your GTIIT account.
  2. From the menu, select “Scan”.
  3. Choose one of the destinations:
    • Email me” to send the scan to your GTIIT email, or
    • "SMB (ScanToServer)" to send it to the shared folder \\print.gtiit.edu.cn\ScannedFiles.
      If you need to scan files larger than 30 MB at a time, this is your quick option. Please make sure you collect your scanned files and remove them from this shared folder after use, as it is a public share and all authorized users can view and delete its contents.


Default scan settings

  • Auto Color
  • Single sided
  • Compact PDF (image only)
  • 300 dpi resolution

You may adjust these settings if required.

  • Place the document face up in the document feeder.
  • Press the large Start button (bottom-right of the panel) to begin scanning.


Log out

Please press the Access key (key symbol) to log out before you leave the machine.
